Privacy Policy

Clever Role Limited ("Clever Role", "we", "us" or "our") is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and what rights you have.
1. Information we collect
We collect information you provide directly (such as name, email address and billing details when you create an account or make a purchase), information generated by your use of our services (such as usage logs, Role activity records and API call metadata), and technical information (such as browser type, IP address and device identifiers). We do not sell your personal data.
2. How we use your information
We use your information to provide and improve the Clever Role platform, process payments, send service communications, maintain security and compliance, and generate anonymised analytics to improve our products. We do not use your data to train third-party AI models without your explicit consent.
3. Data sharing
We share data with trusted third-party service providers (including AWS for hosting, Stripe for payment processing, Anthropic for AI model access, Postmark for service emails, and Google or Microsoft when a customer connects their own account) under strict data processing agreements. We do not sell or rent personal data to marketers or data brokers. We may disclose data where required by law.
4. Data retention
We retain your account data for as long as your account is active and for a period afterwards as required by law or legitimate business purposes. Role activity logs are retained for 90 days by default. You may request deletion of your data at any time by contacting us.
5. Security
We use industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, access controls, and regular security reviews. Sensitive credentials (API keys, OAuth tokens) are stored encrypted and are never logged in plaintext. See our Security page for more detail.
6. Your rights
Depending on your location, you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at privacy@cleverrole.com. We will respond within 30 days.
7. Cookies
We use essential cookies required for the platform to function (authentication, session management) and optional analytics cookies to understand how our services are used. You can manage cookie preferences in your browser settings. We do not use advertising cookies.
8. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the date at the top of this page and, for material changes, notify you via email or an in-app notice. Your continued use of Clever Role after changes constitutes acceptance of the updated policy.
9. Google Workspace integration
Clever Role offers an optional Google Workspace connection so that a customer's Roles can work in the customer's own Google account. Access is granted only through Google's own consent screen, applies only to the account the customer connects, and can be revoked at any time. Clever Role requests these Google permissions: Gmail read access, so Roles such as Business Monitor, Support Desk and Customer Care can read and summarise incoming email; Gmail draft access, so reply drafts can be prepared for the customer to review; Gmail send access, so emails the customer has approved (or set to send automatically) go out from the customer's own address; Google Calendar event access, so Meeting Booking can create, move and cancel meetings and avoid double-booking; and access only to Google Drive files that Clever Role itself creates, such as saved reports. Clever Role's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (policies.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. We use Google user data only to provide the features the customer has enabled. We do not sell it, use it for advertising, or transfer it to others except as needed to provide those features, to comply with law, or with the customer's consent. Humans at Clever Role do not read it unless the customer asks us to for support, it is needed for security or legal reasons, or it has been aggregated and anonymised. Clever Role does not use Google Workspace data to develop, improve or train generalised AI or machine-learning models. OAuth tokens are stored encrypted and are never given to AI models. Customers can disconnect Google at any time from the Connections page; disconnecting revokes our access with Google and deletes the stored tokens. To ask us to delete any other stored Google data, contact privacy@cleverrole.com.
10. Microsoft 365 integration
Clever Role offers an optional Microsoft 365 connection on the same terms. Access is granted only through Microsoft's own consent screen and applies only to the account the customer connects. Clever Role requests these Microsoft permissions: read and draft email (Mail.ReadWrite), so Roles can read and summarise incoming email and prepare reply drafts; send email (Mail.Send), so approved emails go out from the customer's own address; calendar access (Calendars.ReadWrite) for Meeting Booking; access to the customer's own OneDrive files (Files.ReadWrite) for saved reports; and basic profile and offline access so the connection shows the right account and stays connected. We use Microsoft data only to provide the features the customer has enabled, never sell it or use it for advertising, and do not use it to train generalised AI models. Customers can disconnect Microsoft 365 at any time from the Connections page, which deletes the stored tokens; they can also remove Clever Role from their Microsoft account's app permissions.
